Outreach Booking Information

The Duration of the Outreach Workshop that you would like.- The Skills that you would like us to teach

We will need to check tutor availlability for you.
Also, although we do have a standard rate that we normally pay our tutors, costs can sometimes vary according to the specific skills & equipment needed.- Number of Participants
The maximum number of participants that you wish us to work with at any one time.
This is so that we can identify how many tutors we will need. We normally work with a 1 tutor : 8 participants max ratio when teaching Circus Skills as most require a high level of supervision.
The exception for increasing this ratio would be for some Juggling/Manipulation only party workshops, also Theatre & Dance Workshops.
For outreach workshops we normally require at least 2 helpers.- The Age of the Participants
We need to check that the skills, equipment, tutors and design of the outreach workshop, are all appropriate for the age group.- Special Needs?
If there are participants with special needs we need to know what they are, and also what support our tutors will be provided with, to work out appropriate tutor : participants ratios.- The Facilities - ours or yours?
If it is an outreach workshop at your venue and there is rigging to be done or large equipment involved, there may be additional costs to cover this.
If the party is to be outside, we need you to provide us with a secure area. Plus do you have a 'wet weather plan?'- Location
If you would like us to come to you, where are you? Is there easy access?
Where travel is involved, there may be a minimum rate + travel expenses will need to be paid on top.
If accommodation is deemed necessary, this will need to be costed. Any days spent travelling normally get charged at the individual tutor's half-day rate.
A point to consider: If you want us to come to you, and travel expenses / travel days / accomodation costs will be charged, is there another organisation in your area that might also like to book us on the same or next day - so that these costs could be shared to mutual benefit?- The number of bookings.
In certain cases where there are a number workshops booked as a block we may be able to quote a slightly cheaper rate.
Bookings & Payment Procedures:
- Once we have agreed a booking, a 50% non-refundable deposit is required immediately to guarantee your workshop booking.
- We will normally send you out an invoice straight away. Please send your payment by return.
- If we receive payment in advance of issuing an invoice we will instead send you an acknowledgement of payment.
- The full balance is normally due 2 weeks before the workshop takes place.
- If you wish, you may send us a post-dated cheque for the balance at the same time as your original deposit cheque - to save you having to remember!
- If you need to cancel this agreement for any reason less than 2 weeks before the date of the first booking, you will automatically be liable for part, or even all, of this remaining balance - even if you have not paid us in full yet - please see our 'Cancellation Policy' below.
- All cancellations must be made in writing by post / fax / or email. If you have not heard back from us, please do not 'assume' but check with us that we have 'actually received' your cancellation.
- All Cheques / Bankers Drafts / Postal Orders should be made payable to 'Circus Maniacs'.
- If you wish to make an electronic deposit to our bank account, please contact our office for our EBAN details.
Cancellation Policy:
- Once we have agreed a booking, a 50% non-refundable deposit is required.
- If you cancel the booking more than two full calendar weeks prior to the date of the first booking, then a cancellation fee of 50% of the whole sum payable (equal to the minimum deposit) is automatically due.
A refund will only therefore be due if you have paid more than 50% of the fee in advance. - If you cancel the booking less than two full calendar weeks, but more than two full working days* prior to the date of the first booking, then a cancellation fee of 75% of the whole sum payable automatically due.
This will mean that a refund will only be due if you have paid more than 75% of the fee in advance.
If you have paid a 50% deposit, but not yet paid the balancing fee, then you will still be liable to pay us a further 25% of the full fee. - If you cancel the booking less than two full working days* prior to the date of the first booking, then a cancellation fee of 100% of the whole sum payable automatically due.
This will mean that if you have already paid the full fee, no refund will be due.
If you have paid a 50% deposit, but not yet paid the balancing fee, then you will still be liable for the remaining balance in full. - Under certain circumstances, and entirely at our discretion, if you cancel your booking more than one month in advance, we may consider re-sheduling your workshop for another date so that you do not loose your deposit.
If we agree to do this, an administration fee will be charged instead.
* Excluding weekends & bank holidays
Suggestions or Complaints:
We aim to provide courses and workshops of the highest quality and to continuously improve our provision. However if you are not happy with your course for any reason, please discuss the matter with your tutor.
